Artificial Intelligence use policy

Overview

ReGen Strategic uses AI services to support the delivery of professional services. We are committed to using AI responsibly, transparently, and in a way that protects the confidentiality and integrity of all client information.

This statement explains how we use AI, the minimum standards we require of any AI service we engage, what safeguards are in place to protect your information, and what you can expect from us when AI tools contribute to work on your behalf.

ReGen Strategic only uses AI services that meet the commercial-grade protection standards described in this policy. We do not use free, consumer-tier, or unapproved AI platforms for any client work.

How we use AI services

AI services may be used by ReGen Strategic staff to support activities such as:

  • Research, analysis, and summarisation of publicly available information
  • Drafting documents, reports, and correspondence for internal review
  • Structuring ideas and refining written content prior to human review
  • Improving efficiency in the preparation of deliverables

AI is a support tool only. All AI-assisted outputs are reviewed, verified, and approved by a qualified ReGen Strategic professional before being shared with clients or used in any deliverable. We do not use AI to make decisions on your behalf.

What we do not do

To protect your information, ReGen Strategic will not:

  • Submit confidential client information, identifiable personal data, or sensitive project materials to any AI service that does not meet the minimum protection standards set out in this policy, or without your knowledge and agreement
  • Submit information that is classified or subject to statutory secrecy obligations to any AI tool
  • Use consumer, free, or personal AI accounts for any client work
  • Use any AI service that does not meet the minimum protection standards set out in this policy
  • Provide AI-assisted outputs to clients without human review and professional sign-off
  • Misrepresent AI-assisted work as entirely human-produced

Minimum standards we require of any AI service

ReGen Strategic only uses AI services that satisfy all of the following requirements. These standards are non-negotiable and apply regardless of which AI platform is in use at any given time.

  1. Your data is never used to train AI models
    Any AI service we use must operate under commercial terms that unconditionally prohibit the use of client data or conversation content to train or improve AI models. This guarantee must be binding under the provider’s commercial contract, not merely a default setting that can be altered.
  1. Encryption in transit and at rest
    All data submitted to an AI service must be automatically encrypted both during transmission and while stored, using current industry-standard encryption protocols.
  1. Minimal data retention
    AI services must operate with defined, short-term data retention. Data must not be retained indefinitely, and retention periods must be clearly documented in the provider’s commercial terms.
  1. Multi-factor authentication
    The AI service provider must enforce multi-factor authentication for all remote access to its systems and infrastructure.
  1. Continuous security monitoring
    The provider must maintain continuous security monitoring and conduct regular, independent vulnerability assessments across its infrastructure.

Your rights and expectations

As a client of ReGen Strategic, you can expect the following:

  1. We will only use AI services that satisfy all five minimum protection standards set out in this policy.
  2. Where AI tools have materially contributed to a deliverable, we will disclose this to you.
  3. All AI-assisted work will be reviewed and approved by a qualified ReGen Strategic professional before it reaches you.
  4. If you have specific requirements regarding AI use on your engagement, including a preference that AI tools not be used at all, please raise this with your account manager.
  5. We will comply with all applicable privacy laws, including the Privacy Act 1988 (Cth) and any relevant State or Territory legislation, in how we handle your information.
